Executive Assistant

This is a 12-month maternity leave cover for an esteemed private equity firm based in Fitzrovia. Our client is seeking a friendly, hard-working, and team-oriented Executive Assistant to join them in March 2024, on a 12-month fixed-term contract basis supporting 4 investment professionals. This role is inclusive of 25 days holiday, is bonus eligible and extends an opportunity to work in a supportive, high-calibre yet humble team, in gorgeous offices.

This role may be suited to candidates on a working visa, or a career EA looking to return to the workforce. If you have worked in Private Equity or Management Consulting and are motivated to work alongside genuinely lovely people within a small-medium-sized office, please read on. This role is to commence in March 2024 with a handover provided.

Key Details:

  • £50 – £60k + discretionary bonus up to 15%, and leading benefits.
  • Based in bright, modern luxe offices in Fitzrovia.
  • WFH one day per week *please note WFH day must be Tuesday – Thursday, not Monday or Friday.
  • Standard working hours: 9:00am – 5:30pm.

Responsibilities:

  • Coordinate complex diaries and meetings/video calls for four executives.
  • Arranging complex travel (booking hotels, air tickets, taxi, etc.).
  • Maintaining various databases in Word, Excel and Outlook.
  • Active administrative involvement in live deals (meetings, document production, calls, travel etc).
  • Active administrative involvement in portfolio companies (relationship management, filing, calendar management and travel arrangements (monthly).
  • Filing dead/current/potential deals, maintain Central File.
  • Assisting with ad hoc projects in the office such as Quarterly reports etc.
  • Office Management/Admin/Project support to the Office Manager as directed.
  • Preparation of the meeting rooms.
  • Kitchen/Stationary/Printing stock control, purchasing and set up.
  • Meeting and Greeting clients as required.
  • Arrangement of catering and beverages as when needed for meetings.
  • Replenishing and tidy up meeting rooms and kitchen.
  • Any other adhoc task as directed by your managers.

Candidate Requirements:

  • Minimum 5 + years’ experience as an Executive Assistant within Private Equity, Finance or Management Consulting.
  • Highly organised, with advanced Microsoft Office Suite skills, and a high attention to detail.
  • Someone who exhibits a naturally proactive and flexible mindset, who is adaptable to working in a small – medium sized team.
  • It is imperative this person is a team player who is happy to assist with any task to benefit the efficiency of the office, no matter how big or small the task.
  • Must have a high-level of confidentiality and be fluent in English – one other European language is favourable but not essential (Italian, French, German, Spanish, Nordics).
